Student association office
The Student Association Office is available for the use of the Executive Committee to conduct their every day business, including to hold office hours. This is a place of business and is therefore not to be used as a personal meeting space nor is personal access to be given to those not on the Executive committee or in a coordinator role.
As per the Leadership Agreement, the Student Association office space must be maintained in a professional manner. Music, posters and all other office materials must be appropriate for a work environment.
Office Hours
As a requirement of every Executive position checklist, everyone is required to post 2 hours/week and the President is also required to host 1 hour/week elsewhere on campus.
Office Hours Requirements
- Office hours to be determined within 1 week of your election (or the first week of September)
- Hours to be posted in a visible place near the office and shared in email newsletters
- Student leaders are to be present in the SA office during your stated office hours
- Communicate any changes or rescheduled hours to your team members and students
Appropriate use of Office Hours
Office Hours should be used to:

- complete items on your position checklist (such as event management forms, bank reconciliations, email newsletters, etc.)
- check and respond to NSCC email communications
- connect with students who visit during your office hours

- Or fill it in digitally and include it in email newsletters.

Student Lounge
At many campuses, the Student Association is responsible for the oversight of a Student Lounge and should ensure this remains a respectable safe place for any student to feel welcome. Student Lounge conduct and rules may be posted in the lounge to help guide these efforts. Consider the suggestions below to help create a more inviting and inclusive space.
Promote Cleanliness and Organization
- Have resources and supplies clearly labelled and organized.
- Talk to Facilities about the cleaning schedule & practices at your campus.
Provide Connection Opportunity
- Look at your lounge furniture layout. Does it provide options for social interaction?
- Think about providing resources and supplies that promote social interaction (billards, video/board games, etc.)
Elements of familiarity
- Provide opportunities that enhance a sense of involvement.
- Consider adding flags or cultural comforts from the international student population at your campus.
Provide Clear & Visible Info
- If your lounge has a bulletin board, consider posting the lounge rules and student community standards policy.
- Your Lounge is a great place to advertise your upcoming events and promote your services!
Foster Inclusive Atmosphere
- Consider enhancing your space with art and literature that supports and promotes learning of under-represented communities.
- As Executives, you should remain friendly, approachable and non-judgemental.
