62 Reporting to Council
What is Required
At each Students’ Council and Executive Meeting, your Chair should follow the meeting structure as per the Minutes template linked below.
Students’ Council Meetings
In section 5, each executive and each committee (society, club or team) are required to provide a report updating the Council on their progress within their role. It can be verbal but based on the size of the agenda, written reports can also be submitted for review/approval of Council. Written reports should be provided with the agenda in advance of the meeting so that representatives have an opportunity to review.
In ALL cases, whether verbal or written, a motion to approve the report as presented/submitted must be put forward to the Council.
President’s Report
Presidents may use this opportunity to report on any of the following;
- Presidents’ Council information, vote results
- President’s Project updates
- Meetings with staff/faculty
- Student Advocacy pieces
VP Finance’s Report
VP Finance should use this opportunity to report on:
- Monthly Spending
- Budget Updates
VP Activities
VP Activities should use this opportunity to report on:
- Past events and how they went
- Upcoming Events, Activities and Contests
VP Services
VP Services should use this opportunity to report on:
- New programs and services being offered
- Updates on current programs and services
- Awareness Campaigns
VP Communications
VP Communications should use this opportunity to report on:
- Marketing insights/ Social Media initiatives
- Students’ Council vacancies
Societies, Clubs & Teams
Clubs, Societies and Teams may choose to present reports as well. They could use this opportunity to report on:
- Fundraisers
- Events
- Awareness Campaigns
The person who presides over a meeting; most often this is the President of the Student Association
